Do you need a QuickBooks alternative?
First decide whether you need deeper project operations or a different accounting system. Those are different purchases. QuickBooks can already perform basic project costing: Intuit says QuickBooks Online Plus and Advanced include job costing. Intuit also says its job costing tracks labor costs, time, and expenses. (Intuit QuickBooks job costing)
That changes the buying question. If your chart of accounts, bank reconciliation, tax workflow, and accountant relationship work, an add-on may be safer than replacing the ledger. If your team cannot produce reliable WIP, construction billing, payroll, multi-company reporting, or cost-to-complete information without spreadsheets and re-entry, evaluate a construction-accounting replacement.
Use our QuickBooks guide for contractors to test the current setup before shopping. Then document the exact failure: cost-code depth, commitments, change orders, field time, AIA-style billing, retainage, certified payroll, WIP, multi-entity consolidation, or integration errors. A named failure is testable; “we outgrew QuickBooks” is not.
Keep QuickBooks: Knowify or Contractor Foreman
Both options keep QuickBooks Online as the accounting layer while adding construction workflows. They are not equivalent, so demo the data path rather than comparing feature counts.
| Option | What the vendor currently documents | Best evaluation case |
|---|---|---|
| Knowify | Project transactions including purchase orders, vendor bills, expenses, and invoices sync between Knowify and QuickBooks Online in real time. (Knowify QuickBooks integration) Knowify also lists WIP reporting, AIA billing, change orders, and job costing among its construction tools. | Specialty or trade contractor that wants project control and granular job costing while keeping QuickBooks |
| Contractor Foreman | Invoices, bills, payments, and expenses can sync both ways with QuickBooks Online, which remains the accounting system of record. (Contractor Foreman QuickBooks integration) Its pricing page lists AIA-style G702/G703 invoicing, retainage tracking, and job-cost reports. | Contractor that wants a broad project-management layer and published plan structure around a QuickBooks ledger |
Knowify says its job costing breaks work down phase by phase and by labor, materials, equipment, and subcontractor cost categories. (Knowify QuickBooks integration) Contractor Foreman says its QuickBooks Online integration is included in the subscription, but a separate QuickBooks subscription is required. (Contractor Foreman QuickBooks integration)
Before signing, use the QuickBooks integration verification checklist. Test one estimate, change order, timecard, purchase, vendor bill, customer invoice, retainage release, payment, credit, and closed job in a sandbox.
Replace the ledger: Foundation
Foundation is the clearest fit here when the replacement decision is driven by construction accounting rather than general project management. Foundation says its accounting system puts job costing, payroll, billing, and reporting in one place. (Foundation construction accounting)
The documented workflow set is specific: real-time cash flow, WIP and job profitability; certified payroll with multi-state and union requirements; and AIA, time-and-materials, and progress invoices with retainage. Foundation also says entering or importing change orders updates the over/under WIP schedule immediately. (Foundation construction accounting)
That makes Foundation a replacement candidate when payroll compliance, billing, and job-cost reporting need one database. It does not prove fit by itself. In the demo, recreate your hardest payroll week and billing cycle. Require the vendor to show fringes, unions, multiple states, deductions, corrections, a change order, stored materials, retainage, an over/under schedule, and the general-ledger result using your sample data.
Replace at scale: Acumatica or Jonas
These systems deserve evaluation when the problem reaches beyond one project module and into integrated financial operations.
| Option | Documented strength | What to prove in the demo |
|---|---|---|
| Acumatica Construction Edition | Acumatica says it connects general ledger, AP, AR, cash management, budgeting, billing, tax, and multi-entity reporting with project activity. (Acumatica Construction Edition) It also tracks labor, material, equipment, subcontractor, inventory, and other costs against project budgets. | Multi-entity eliminations, permissions, commitments, forecast updates, retainage, change control, field-to-office timing, implementation scope |
| Jonas Construction | Jonas says its general ledger supports posting and viewing over/under billing (WIP). Jonas also says the system integrates AP, AR, equipment management, payroll, and job costing. (Jonas construction accounting) | Job/service-company crossover, WIP tie-out, payroll, equipment, service billing, audit trail, migration and close process |
Acumatica says its change workflow connects commitments, back charges, cost changes, revenue changes, approvals, retainage, and billing. (Acumatica Construction Edition) That breadth is useful only if your team will implement the controls and maintain the data.
Neither product should be bought from a feature matrix. Ask for a scripted conference-room pilot, implementation roles, data-conversion rules, integration ownership, report inventory, close calendar, training plan, acceptance criteria, and a written total-cost schedule.
Xero is a ledger swap, not construction ERP
Xero is relevant when the goal is a different small-business ledger, not when the requirement is a full construction-accounting replacement. Xero’s current U.S. pricing page says there are no per-user license fees. Its Established plan includes tracking time and costs for projects. (Xero U.S. pricing)
That can suit a small contractor with straightforward accounting and a carefully chosen project add-on. It does not establish native AIA billing, retainage, certified payroll, commitment accounting, or construction WIP. Treat each of those as an open requirement until the vendor or integration partner demonstrates it.
Also compare the whole stack, not the base subscription: ledger, payroll, project add-on, payments, time tracking, reporting, implementation, support, and the work required to reconcile systems. The construction accounting software guide covers the accounting-side shortlist, while our job-cost reconciliation guide shows why a cheap integration can become expensive when records do not tie.
QuickBooks alternatives FAQ
Does QuickBooks have job costing?
Yes. Intuit says QuickBooks Online Plus and Advanced include job costing and project-profitability reporting. The issue is whether that depth and the surrounding construction workflows fit your jobs.
Should I add construction software or replace QuickBooks?
Add software when the ledger works and you need deeper project operations. Replace it when accounting, payroll, billing, WIP, multi-company reporting, or cost controls cannot be expressed reliably in the current system.
Which tools keep QuickBooks as the ledger?
Knowify and Contractor Foreman both document two-way QuickBooks Online workflows. Contractor Foreman explicitly says QuickBooks Online remains the accounting system of record.
Which option documents certified payroll?
Foundation explicitly documents certified payroll formats plus multi-state and complex union payroll. Verify your required jurisdictions, forms, fringes, and correction workflow in a scripted demo.
Is Xero a construction-accounting replacement?
Not by itself. Xero documents project time-and-cost tracking on its Established plan, but construction billing, payroll compliance, commitments, retainage, and WIP require separate verification.
What should I test before migrating?
Use one difficult closed job. Reproduce the budget, changes, costs, payroll, billing, retainage, WIP, payments, financial statements, and audit trail, then reconcile the result to the old system.
